Rules
The competition
The Renaissance photography competition (the Competition) has been organized by the organizing committee (the Committee) to raise money for the Lavender Trust at Breast Cancer Care (the Lavender Trust).
The Competition will be judged by a jury of well-known photographers (the Jury) and will result in a two day exhibition (The Exhibition) and a high-profile, celebrity private view at The Hospital Private Members' Club on 24 March 2010 (the Celebrity Private View).
By entering the Competition you are deemed to accept the Rules of Entry.
Eligibility
The Competition is open to all professional and amateur photographers worldwide over 16 years old (the Entrants). Members of the Committee are not eligible to enter the Competition.
Timing
The Competition will open for entries at 10am GMT on 11 October 2009 and will close at 10pm GMT on 20 January 2010. Entries received after this deadline will not be accepted. No responsibility is accepted for network, computer hardware or software failures of any kind which may restrict or delay the sending of your entry.
Image size and format
Entries must be submitted electronically as JPEG files of no more than 800 pixels on the longest side and not more than 300 Kb in file size via www.renaissancephotography.org (the Website). Scans from film or prints are acceptable. Entries will not be accepted by post or hand.
Your images should be renamed. If your name is Paul Smith and you are entering 3 images, then please name them smithp01.jpg to smithp03.jpg (with no spaces, capital letters or unusual characters).
Entrants who are selected by the Jury to take part in the Exhibition (the Finalists) will be required to provide a high resolution 300dpi file minimum 2MB for high quality reproduction within 14 days of notification. Failure to provide a high resolution file within this timeframe may result in the Finalist forfeiting his/her prize and/or his/her place in the Exhibition. Details of how to send the file will be provided at the time.
Cost of entry and number of entries
Entrants can enter as many images as they wish (the Entries) to the Competition.
The cost of entering is £15 for a single image and £25 for up to 4 images (the Entrance Fees). All monies received from the Entrance Fees (less transaction charges by our credit-card clearing house) will be donated to the Lavender Trust.
Entrants can enter the same image in more than one category. Each time an image is entered, it will count as an Entry for the purposes of the Entrance Fees (ie if you wish to enter the same image into the categories "People" and the "Movement", then this will count as 2 images).
Entrants must complete the entry form and pay the Entrance Fees before any Entries can be considered.
Subject matter and format
Entries may be in black and white or in colour.
Retouching / manipulation of images is accepted provided that all works are original works and not copies of other people's works.
The Committee reserves the right to refuse pictures that it considers offensive or inappropriate to the Competition; for example pictures that are obscene, in poor taste or that incite political, racist or religious hatred.
Entries must be entered into one or more of the 4 categories: Landscapes, Movement, People and Reflections.
Entrants must provide a short caption of not more than 100 words to accompany their image (the Caption).
Entrants may enter a photograph that has previously been entered into or has won another photography competition, provided that, by doing so, the Entrant is not in breach of the terms and conditions of the Renaissance or any other photography competition.
Judging and notification
The names of the Judges are listed on the Website but are subject to change without notice at the sole discretion of the Committee.
The Judges will select 20 Finalist images from each of the 4 categories (80 images in total).
The Caption will not be taken into account for the selection of the Finalists. The Caption will be displayed with the Finalists' photographs at the Exhibition.
The Judges' decision is final and no discussion or correspondence can be entered into in respect of their decision.
The Finalists will be notified by email in February 2010 and their names will be posted on the Website (Notification). Email delivery receipt will be deemed proof of Notification and any time period will run from this date.
Prizes
The judges will select from the Finalists 17 images as prize winners (Prize Winners):
- one overall winner (the Renaissance Winner);
- a category winner in each of the 4 categories (the Category Winners); and
- three highly commended images in each of the 4 categories (Highly Commended).
Prize winners will receive Notification in February 2010 and will be invited to attend the Celebrity Private View on 24 March 2010.
Prizes will be announced and awarded at the Celebrity Private View. If the Renaissance Winner and the Category Winners are unable to attend the Celebrity Private View their cheques will be sent to them by registered post within 2 day of the Exhibition or transferred by Paypal, for Prize Winners outside the United Kingdom.
The Renaissance Winner will receive a cheque for £3,000 and a double ticket to the Celebrity Private View.
Each of the 4 Category Winners will receive a cheque for £500 and a double ticket to the Celebrity Private View.
The photographers who took the 12 Highly Commended images will receive a double ticket to the Celebrity Private View.
Finalists other than the Prize Winners will be entitled to purchase a ticket to the Celebrity Private View at a reduced rate of £35. Additional tickets to the Exhibition may be purchased at full price, subject to availability.
Travel costs and overnight costs are at the expense of the ticket holders.
Prizes are non-transferable.
All cash prizes are available in US Dollars at the prevailing currency exchange rate.
Production and viewing
The Finalists' photographs will be exhibited to the public at the Hospital Private Members Club, London on 23 and 24 March 2010 (the Exhibition) and at the Celebrity Private View on the evening of 24 March 2010.
The Committee will be responsible for framing and printing the Finalists' images.
Finalists shall not object to any cropping or other minor alteration of the works for the purpose of including them in the Exhibition and Celebrity Private View.
Finalists shall not object to any minor adaptation or treatment of the works for the purpose of creating publicity materials for the Exhibition, Celebrity Private View or subsequent Competitions.
Sale of images
With the Finalists' express consent, given at the time of Notification, the Finalists' photographs will be available for sale at the Celebrity Private View and any connected exhibitions organized within 6 months of the close of the Competition for the purpose of raising money for the Lavender Trust (Connected Exhibitions).
The sale price will be determined by the Committee.
Finalists agree to donate the proceeds from the first sale of a print of their photograph to the Lavender Trust (less 10% where the Finalist provided the print). Net proceeds from the sale of subsequent prints (after printing costs) at the Celebrity Private View will be divided 50/50 between the Lavender Trust and the Finalist.
General terms and conditions
All Entrants release the Committee and their judges and sponsors from and against all claims and damages arising from or in connection with each Entrant's participation in the Competition. All Entrants agree to comply with these Rules of Entry.
Entrants are responsible for informing the Committee of any changes to the information entered on the entry form, in particular of any change of contact details at any time before the Celebrity Private View.
Entrants agree to take part in post-competition publicity.
Copyright and permissions
By submitting images to the Competition, each Entrant confirms and warrants that:
- they are the sole author of each Entry and that it is their original work;
- they own the copyright and any other intellectual property rights of each image;
- they have the permission of those pictured in the image (or, where the image shows any persons under 18, the consent of their parent/guardian) for the usage rights required in the section on licensing below and will indemnify the Committee against any claims made by any third parties in respect of such infringement;
- they have not licensed or disposed of any rights in the image that would conflict with uses to be made in the licensing section below; and
- they have received any necessary permissions from the owner(s) of buildings included in submitted images for the usage rights required by the licensing section below and will indemnify the Committee against any claims made by any third parties in respect of such infringement.
Copyright of each image is retained by its respective photographer.
Licensing
By entering the Competition, you grant the Committee and Renaissance supporting partners a non-exclusive, irrevocable license to reproduce, enlarge, publish or exhibit, on any media, the images for any purpose connected with the Competition. This may include, but is not limited to:
- magazine coverage of the Competition and Exhibition;
- inclusion in a catalogue;
- display at the Exhibition and Connected Exhibitions;
- on a web browser for judging purposes
- on renaissancephotography.org website and on the websites of sponsors and supporters
- for use in press releases to be distributed to national, regional & specialist press giving information about or promoting the 2010 competition and subsequent Renaissance competitions.
Entrants also agree that the Committee can sub-license images to the media for reproduction in connection with the Competition. However, for any use that falls outside this remit, royalties will be discussed & negotiated with the photographer concerned.
Data protection
Entrants details will be stored on the competition database for the purposes of the Competition. By entering the Competition, Entrants agree that the organisers can collect, save and process the personal data provided (the Data) for the sole purposes of the Competition and Celebrity Private View.
